• For young scientists*, participation upon registration to all Young Tribologists Events (3 Minute Thesis (3MT), Young Tribologists Career fair & Evening) and Poster Awards. Registration for those specific events will open later.

*Access to young scientists only: any Master & PhD student or young doctor whose age is, regardless of status, no more than 32 years old on year 2022.

• Lunches from Monday to Friday: For logistic requirements, the order of either seated lunches or lunch bags has been closed.

Important message to authors
If you register by March 15, 2022, your oral/poster presentation will be included in the early version of the scientific programm, to be published by en of March 2022. This is a great opportunity for the participants to discover your work and for you to organize your stay at WTC 2022.

Participants coming from outside the Schengen Area wishing to enter France must be able to submit statutory documents at the border concerning the reasons for their stay, their means of support and accommodation arrangements.

A visa is generally required, in the absence of a waiver. For general information and for preparing, submitting and tracking your visa application, log on to France-Visas, France’s official visa site, with all the information you need to guide you through the process and help you every step of the way.
Waiting times for appointments and for processing applications will vary depending on your nationality and on the time of the year. Participants are advised to check whether they will need a visa and submit any visa application well in advance of the conference.

If you need an invitation letter for a visa purpose, you will be able to request it through the registration process. For participants submitting contributed abstracts, requests should be made as soon as possible after receiving notification of acceptance.

A limited amount of Participant Registration Fee (PRF) support is available for presenting authors (i.e. speakers) planning to attend WTC 2022. This support is available for retired colleagues, or for any researchers from a group of lower- and some middle-income countries.

Delegates who find themselves unable to attend WTC 2022 after submitting a registration form are most welcome to nominate a substitute. All substitutions and cancellations should be notified in writing by e-mail to Insight Outside at registration@wtc-2022.org.

• Cancellations until 30 April 2022: 50€ for administrative costs
• Cancellations from 1st to 31st May 2022: 50% penalty
• Cancellations after 31st May 2022: no refund - 100% penalty

Exclusions

• If you do not get your VISA, and you can prove it through documents, we will refund 100% of your fees (except 50€ for administrative costs and banking fees for the refunding), should we receive the notification at least 30 days prior to the conference.
• Conference organizers cannot accept refund requests from the conference delegates that result from cancelled flights and/or natural disasters/calamities.

Covid-19 specific policy
Should you need to cancel during the uncertainty of the outbreak before May 31, 2022, the organization will refund your registration fee, with no penalty. We will require a proof of travel restrictions from your university or organisation.
In the event the WTC Organizing Committee must cancel the congress due to unforeseen circumstances, such as epidemic/pandemic security reasons, the congress will be postponed to a later date. Delegates will then be offered to defer their initial registration fees to the postponed event.
The WTC Organizing Committee will not assume responsibility for any additional costs or charges related to the initial registration, to include charges made for travel and accommodation.

DELEGATES CANCELLATION INSURANCE
Delegates will be offered the opportunity to subscribe to a cancellation insurance covering the costs related to their participation in case of major impossibility (illness, strike, riots, job transfer, job lay-off,…) covering registration fees, accommodation expenses, travel expenses. The subscription will be proposed in the registration process.
 

The information entered into the registration form will be subject to computer processing by Insight Outside. It is processed by computer for LAMCOS and LTDS in order to manage the logistic organisation of the World Tribology Congress 2022.

Photography
As in-person participants of WTC 2022, the registered delegates authorize WTC organizers to use any photograph or video taken during the congress and to make it available on the congress website and on partners medias ; to the express exclusion of operations outside the context of the communication activities related to the event, and any use likely to damage reputation or any other medium of pornographic, racist, xenophobic character or any other prejudicial exploitation.
